Baby Bear’s Play Cafe: Terms & Conditions
Children must be supervised by a responsible adult at all times.
Baby Bear’s Play Cafe cannot take responsibility for children at any time.
All outdoor shoes must be removed before entering the play areas. Socks must be worn by all children and adults. Exceptions apply only for medical reasons, please inform Baby Bear’s Play Cafe prior to your visit.
The play cafe is cleaned and reset before each session. If the door is closed on arrival, please wait, we ask guests to arrive no earlier than 5 minutes before your pre-booked time. In poor weather, early entry to the cafe seating area may be allowed.
Only food and drinks purchased on site may be consumed. If you have special dietary needs, please contact us in advance.
Birthday or celebration cakes are not permitted during general admission sessions, nor are decorations such as balloons or banners.
We kindly ask that children who are or have been unwell refrain from visiting for 48 hours after symptoms have cleared.
Please report all accidents or damage to a member of staff immediately. Intentional damage may incur charges.
Baby Bear’s Play Cafe reserves the right to refuse admission or ask guests to leave if behaviour or language is abusive toward staff or other guests. No refunds will be issued in such cases.
When taking photos, please avoid capturing other children. Baby Bear’s Play Cafe cannot be held responsible for images shared by customers. We will never share photos without written consent.
Children up to and including age 7 are welcome to play. Some toys are suitable for ages 3+, and children under 3 must be closely supervised.
Smoking and vaping are strictly prohibited within Baby Bear’s Play Cafe.
Please keep valuables with you at all times, the venue cannot accept responsibility for lost or stolen items - coats and bags can be kept in the cafe area, they are not to be taken into the role play areas.
On-site parking is available on a first-come basis. Vehicles are left at the owner’s risk.
Tickets, transfers, and cancellations
All bookings and deposits are non-refundable.
Transfers may be possible with 48 hours’ notice by email.
If transfer is approved, it must be used within 14 days of the original booking date.
Baby Bear’s Play Cafe reserves the right to close at any time for safety reasons; in this case, a full refund or transfer will be provided.
A child ticket admits one child; adult tickets are £3.95 each and apply to anyone aged 8 and above. Entry is limited to those with valid tickets only.
Unaccompanied adults will not be permitted entry.
A small booking fee applies.
All gift vouchers and bookings are valid for 6 months from purchase.
Birthday celebrations must be booked as a party, cakes and balloons are not to be brought to the venue during general sessions.

Please contact our team before your visit if you or your child has allergies, disabilities, medical needs, or other requirements so we can do our best to accommodate you.
Party Terms & Conditions
By paying your deposit, you agree to these terms.
A non-refundable £50 deposit is required at booking.
The full booking amount needs to be paid 48 hours before the event.
Parties are non-refundable and non-transferable within 60 days of the event.
Minimum number of children: 10.
Children aged 8 and over cannot play in the area.
We recommend 1 adult per 4 children for supervision.
Food, drink, and decorations vary by package.
Final guest list and dietary requirements must be submitted 7 days prior.
Socks must be worn by all children and adults.
Birthday cakes and candles may be brought by the host family only.
Please vacate the party area promptly at the end of your session.
No outside catering is permitted unless pre-approved.
If Baby Bear’s Play Cafe must cancel due to emergency, a full refund will be given.
Any issues should be raised with the on-duty member of staff during the event.
Baby Bear’s Play Cafe: Membership rules
What you can and cannot do
Only for you: Only the child(ren) and adult(s) whose names are on the list can use the membership. You cannot give your membership to someone else.
Play time only: Membership is for normal 90-minute play times. It does not include parties (like birthdays or Christmas), private events, or classes. Sometimes, we may offer special member discounts for these events.
Watching your children: Our rule for watching children stays the same. Parents or guardians must always watch their children (100% of the time).
Booking and missing sessions
Book before you come: You must book your time online. Your membership does not guarantee entry if you do not book, as the cafe might be too full.
Canceling: If you cannot come, please try to cancel at least 12 hours before the session starts.
Paying and stopping membership
No money back: Monthly fees cannot be refunded. You will not get money back if you only use the membership part of the time, or if the cafe is closed for holidays or private parties.
Stop your membership (30-Day Notice): You must email us 30 days before you want to stop your membership. You will still pay for the membership within those 30 days, and you can keep using it until the payment period ends.
Price changes: Baby Bear’s Play Cafe can change the price of the membership. We will tell you about any price changes 60 days before they start.
Ending membership if rules are broken
If you share your booking details with people who are not members, or if you lie to bring children who are not registered, we will end your membership right away. You will not get money back for the rest of that month.
Cafe closures
We may need to close the cafe for important fixes (maintenance) or private parties. We will try to keep this short. If the cafe is closed for less than 5 days, you will not get a refund for your membership fee.
